Terms and Conditions

Lhasso Adventure Pvt. Ltd. has established its terms and conditions for all its services, including trekking, mountaineering, hiking, rafting, wildlife safaris, mountain biking, and any other activities operated by the company. Before proceeding with the registration form and signing the declaration, we urge you to carefully review these terms and conditions, as they outline your agreement with Lhasso Adventure Pvt. Ltd. and contain essential information.

Upon booking and submitting your form, a non-refundable deposit of $US 200 per person is required. Additionally, we request that you submit the booking form and a photocopy of your passport at least 1 week before departure so that we can begin processing all necessary logistics. While reservations can be accepted up to 1 week before departure, full payment must be submitted along with the booking form. It is strongly recommended that you book earlier to secure your spot.


Our Trip :

Lhasso Adventure conducts trips in regions where the standards of accommodation, transportation, safety, hygiene, food, medical facilities, and other infrastructure may be below your usual expectations. Please consider that Nepal is a developing country and take the aforementioned factors into account when making your booking.

Acts of Good Policies :

In the areas served by Lhasso Adventure, flights and other transportation may experience delays or cancellations, prioritizing your safety. These occurrences may be due to factors such as hazardous flying weather or treacherous trekking or climbing conditions. In such events, the following standard “natural disaster” policies apply, which are common across the industry and are adopted by agencies like ours.

In the event of such delays, clients are fully responsible for any additional expenses incurred, including accommodations, transportation, meals, or other related costs while waiting at the location. Moreover, there are no refunds provided for lost reservations at accommodations or facilities at the destination location. Lhasso Adventure solely covers the wages of staff, such as porters, who may be impacted by such delays beyond our control.

For this reason, we strongly advise our clients to consider purchasing recommended travel insurance, as detailed below.

Limitation of Liability : 

Our liability to you is limited to the total cost of your booking. We are not liable for any indirect or consequential losses, including but not limited to loss of enjoyment, loss of income, or additional expenses incurred. We do not accept liability for any delays, cancellations, or changes to your itinerary caused by third-party service providers, including airlines, transportation companies, and hotels.

 

Cancellation Costs Incurred by the Client:

Cancellation by the participant: More than 30 days before departure Full refund

  • 15–25 days before departure. A refund of 50% of the total trip cost
  • 10 days before departure A refund of 25% of the total trip cost
  • Within 5 days of departure, no refund
  • No refunds will be made for any unused services, accommodations, etc. once the trip has started.
  • If a client decides to leave a trip before its completion, no refund will be given for the unused portion of the trip.
  • If a client wishes to extend the duration of a trip after the trip has started, this may be possible, but payment will need to be made prior to this taking place.

During the trip, clients are required to stay at the hotel or lodge chosen by Lhasso Adventure. If a client wishes to stay elsewhere, they will have to bear the cost of accommodation and food at the alternative lodge or hotel themselves.

Health and Fitness Requirements : 

Participants must be in good health and physical condition. It is your responsibility to ensure that you are medically fit to undertake the trek.  We recommend that you consult with your doctor before participating in any trekking activities. Any medical conditions, allergies, or dietary restrictions must be disclosed at the time of booking. 

Risk Acknowledgment :  

Trekking involves inherent risks, including but not limited to altitude sickness, injury, and unpredictable weather conditions. By booking a trek, you acknowledge these risks and agree to participate at your own risk.  We are not liable for any injuries, loss of life, or damage to personal property that may occur during the trek.  

Itinerary Changes : 

While we strive to adhere to the planned itinerary, unforeseen circumstances such as weather conditions or road closures may require changes. We reserve the right to modify the itinerary for the safety and well-being of the participants. Any additional costs incurred due to itinerary changes will be borne by the participant. 

Code of Conduct : 

Participants are expected to respect local customs, cultures, and the natural environment. Any behavior that disrupts the group or violates local laws may result in the participant being removed from the trek without a refund. Participants are responsible for their own belongings. We are not responsible for any loss or damage to personal items.

Complaints :

If you encounter any complaint that cannot be promptly addressed by your tour leader or if you are unsatisfied with the initial response, kindly inform us in writing within 10 days following the conclusion of your trip. We will make every effort to resolve the issue satisfactorily.

Travel Insurance :

Insurance is mandatory for all Lhasso Adventure trips. We strongly advise all travelers interested in trekking or mountaineering in the Himalayas to obtain comprehensive travel insurance. This insurance should cover emergency evacuation, including helicopter rescue and air ambulance services, medical treatment, theft, loss of belongings, last-minute tour or ticket cancellations, death, and personal liability. It’s important to note that most standard travel insurance policies may not cover all these essentials of your trip.

Guests are required to carry proof of their insurance policy and provide a copy to us at our Kathmandu office.

Regarding our trekking crews, including trekking guides, mountaineering/climbing guides, trekking cooks, and trekking porters, our company insures them annually.  

Helicopter Evacuation :

Trekking in Nepal involves traversing mountain paths where standard health treatment services are limited and not easily accessible. In mountainous regions, there are few hospitals and medical professionals available. Therefore, if a trekker experiences severe illness, they must be promptly brought to the nearest city or Kathmandu for urgent medical attention. Helicopter rescue is often the most efficient option for transportation due to the lack of quality paved roads leading to mountain hospitals in Nepal.

In the event of a serious illness or accident in the Himalayas, our guides communicate updates via satellite phone or cell phone where network coverage is available. If emergency evacuation or rescue is deemed necessary, we swiftly coordinate with helicopter rescue companies.

It is crucial to immediately contact the insurance company with the insurance policy number and provide all necessary details. A reference number will be assigned for the case file, which is essential for further consultation.

Once the helicopter is dispatched, you will be informed of the estimated arrival time. During this period, you may be in bed or in a clinic, possibly receiving oxygen if experiencing altitude sickness. Delays may occur due to weather conditions, and the pilot will determine the best landing spot. Your guide and some team members will prepare a daypack containing essential items such as insurance papers, wallet, passport, clothing, toiletries, mobile phone, book, camera, and valuables. Your main hiking gear can remain with the group and be sent back to Kathmandu later if necessary.

Upon arrival in Kathmandu, our staff will be waiting at the domestic airport with a vehicle or ambulance to transport you to the hospital if needed. While in the capital, any altitude symptoms will quickly subside, leaving you feeling weak and possibly coughing due to the dry air in the mountains. Hospital staff will conduct tests to assess hydration levels, lung conditions, and blood pressure, with one of our staff members accompanying you throughout the treatment process.

The Cost of Evacuation:

The cost of a helicopter evacuation varies depending on the destination, ranging from USD$3500 to USD$10,000. Therefore, it is essential to ensure that your insurance policy provides coverage for this amount. The insurance company will monitor your progress and stay in communication with the medical staff at the hospital. In most cases, they can directly cover the treatment expenses, but initially, it may be necessary to use your credit card. Upon arrival in Kathmandu, the helicopter company may request an imprint of your credit card as a deposit, typically amounting to 45% of the total cost. Additionally, we advise informing your Embassy or Consulate if the situation warrants it, as they can offer assistance and guidance.
